How to invoice like a pro
A clear invoice gets paid faster. Here's the anatomy of one that leaves no room for "I'll get to it":
- Unique number + dates. A sequential invoice number (INV-0001) plus an issue date and a due date make follow-up simple.
- Itemized work. One line per service or material, each with a quantity and unit price, so the client sees exactly what they're paying for.
- Totals that add up. Subtotal, optional discount, tax, and the total due — calculated automatically here.
- Clear terms. State your payment window (Net 30 is standard) and any late fee up front.
Worked example
You bill 16 hours of labor at $95/hr ($1,520) plus $640 in materials — a $2,160 subtotal. Apply 7% sales tax ($151.20) and the total due is $2,311.20, payable Net 30. Download it as a PDF and email it the same day you finish the job — the faster it goes out, the faster it comes back.
