1. Overview

This Privacy Policy describes how ContractorsChat, Inc. (“ContractorsChat,” “we,” “us,” or “our”) collects, uses, and discloses information about you when you visit contractorschat.com, use our web and mobile applications, or otherwise interact with our services (collectively, the “Services”).

ContractorsChat is a communication and project-management platform for general contractors, trade professionals, and the people they work with. By using the Services, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Services.

2. Information we collect

Information you provide to us

We collect information you give us directly, including when you create an account, build a profile, communicate with other users, or contact us. This may include:

  • Account & profile data — name, email address, phone number, password, company name, role (e.g., general contractor or trade), trade specialties, service area, and profile photo or company logo.
  • Verification data — business license numbers, insurance information, certifications, and similar credentials you choose to submit to verify your profile.
  • Content you create — messages, project details, bids, documents, files, photos, reviews, ratings, invoices, and other content you upload or exchange through the Services.
  • Payment information — when you subscribe to a paid plan or process payments, our payment processor (Stripe) collects your payment-card or bank details. We do not store full card numbers on our servers; we receive limited information such as the last four digits, card brand, and billing contact.
  • Communications — information you provide when you email us, complete a contact or demo-request form, or join a feedback call.

Information we collect automatically

When you use the Services, we and our analytics providers automatically collect certain technical and usage information, including:

  • Device & connection data — IP address, browser type, operating system, device identifiers, and language settings.
  • Usage data — pages viewed, features used, links clicked, referring URLs, and timestamps.
  • Cookies & similar technologies — see Cookies & analytics below.

Information from third parties

We may receive information about you from third parties, such as payment processors confirming a transaction, identity- or credential-verification services, or other users who invite you to a project or leave a review.

3. How we use information

We use the information we collect to:

  • Provide, operate, maintain, and improve the Services;
  • Create and manage your account, profile, and verification status;
  • Enable messaging, bidding, project collaboration, reviews, and payments between users;
  • Process subscriptions, payments, and invoices;
  • Communicate with you about your account, transactions, updates, security alerts, and support requests;
  • Send product news, tips, and marketing — which you can opt out of at any time;
  • Understand how the Services are used so we can build better features;
  • Detect, investigate, and prevent fraud, abuse, and security incidents; and
  • Comply with legal obligations and enforce our agreements.

4. How we share information

We do not sell your personal information. We share information only as described below:

  • With other users — your profile, content, bids, messages, and reviews are shared with the users you choose to interact with, consistent with the nature of a collaboration platform.
  • With service providers — vendors who perform services on our behalf, such as cloud hosting, payment processing (Stripe), product analytics (PostHog), email delivery, and customer support. These providers may access information only to perform their functions and are bound by confidentiality obligations.
  • For legal reasons — when we believe disclosure is necessary to comply with a law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of ContractorsChat, our users, or others.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of all or part of our business, your information may be transferred as part of that transaction.
  • With your consent — in other cases where you direct us to share your information.

5. Cookies & analytics

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the Services are used. Our marketing website uses PostHog for privacy-conscious product analytics. You can control cookies through your browser settings; disabling some cookies may affect how the Services function.

We do not currently respond to browser “Do Not Track” signals, as no common standard has been adopted. Where required by law, we honor recognized opt-out preference signals such as Global Privacy Control (GPC).

6. Data retention

We retain personal information for as long as your account is active or as needed to provide the Services, and afterward as necessary to comply with our legal obligations, resolve disputes, enforce our agreements, and maintain business records. When information is no longer needed, we delete or de-identify it.

7. Data security

We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, and ongoing monitoring. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.

8. Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. To exercise any of these rights, contact us using the details in the Contact us section. We will respond as required by applicable law and will not discriminate against you for exercising your rights.

Marketing opt-out: You can unsubscribe from marketing emails at any time using the link in those messages or by emailing us. We may still send you non-promotional messages about your account or transactions.

9. California privacy rights

If you are a California resident, the California Consumer Privacy Act, as amended by the CPRA, gives you the right to know what personal information we collect, to request access to or deletion of that information, to correct inaccurate information, and to opt out of the “sale” or “sharing” of personal information. We do not sell or share personal information as those terms are defined under the CPRA. To exercise your rights, contact us as described below. You may use an authorized agent to submit a request on your behalf.

10. EU/UK (GDPR) rights

If you are in the European Economic Area, the United Kingdom, or Switzerland, you have rights under the GDPR (and the UK GDPR), including the rights of access, rectification, erasure, restriction, data portability, and objection. Our legal bases for processing are the performance of our contract with you, our legitimate interests in operating and improving the Services, your consent (where applicable), and compliance with legal obligations. You also have the right to lodge a complaint with your local supervisory authority.

11. Children's privacy

The Services are intended for businesses and professionals and are not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.

12. Third-party links & services

The Services may contain links to third-party websites and services that we do not operate or control. This Privacy Policy does not apply to those third parties, and we encourage you to review their privacy policies before providing any information to them.

13. International users

We operate in the United States. If you access the Services from outside the U.S., you understand that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country. Where required, we use appropriate safeguards for such transfers.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Services after an update means you accept the revised policy.
